Med spas

The consult rings while a room is full.

A guest calls about a consult while a provider is in a room and the coordinator is on the other line. We build the callback, the note before a booked visit, the follow-up when a written plan never became the next appointment, and the review request after the visit is marked complete. Dental groups and vet clinics have their own page, with hygiene and revisits instead of elective treatments. A solo provider who answers the phone between appointments is not the buyer here.

The four jobs

The desk already does these. They slip when the rooms are full.

  • The missed consult.

The caller gets a text in wording the clinic settled once, so they know the desk saw the call and how to pick a time. The thread is on the screen when someone is free.

  • The note before the visit.

The visit is already on the book. The day before, the guest gets the time, the address, and a simple way to ask for a different day. You write that note once, for the visits your clinic actually books.

  • The plan that went quiet.

The guest left with a written plan and has not booked the next step. On the days you choose, a short note asks whether they still want that visit held. The coordinator sees who wrote back.

  • The review after a completed visit.

When the visit is marked complete, the guest receives the review request the clinic wrote, with the public link the clinic uses, including the ordinary visits the desk would have skipped.

What the guest can read

A note about a visit, not a promise about a result.

Illustrative, not a client result.
Your visit is tomorrow at the time on your confirmation, at the address on our site. Reply if you need a different day. This note does not describe a result.

Your order

Your AI conversion system.

An elective clinic orders its conversion system as speed to lead for the inquiry that lands during a treatment, then missed-call rescue for the consult line, then appointment reminders the day before a booked visit, then estimate follow-up when a written plan goes quiet, then review requests after the visit is complete, and the weekly owner report for that clinic.

Approval

Routine clinic notes can leave. A fee or a result cannot.

The text after a missed consult, the day-before reminder, and the review request can leave after our checks, when they use wording the clinic already settled. A fee for this guest, a promised chair time, a discount, a change to the written plan, or a new sentence about what a treatment does waits until the provider, or the coordinator they named, releases that message.

  • Leaves after the checks.

The missed-consult text, the reminder the day before a visit already booked, and the review request, each one only in lines the clinic approved ahead of time.

  • Waits for the provider.

A fee, a promised time, a discount, a change to the written plan, and any new sentence about a result. Those are the sentences a provider would have spoken in the room.

Questions

Questions a med spa coordinator asks.

How is this different from the dental group page?

The furniture is similar: a phone, a book of visits, and people who should come back. The jobs here are the consult call, the day-before note, the follow-up on a treatment plan, and the review request. Dental groups and vet clinics have their own page, and the wording there is about hygiene and revisits.

Will it suggest a treatment to a guest?

No. It can remind a guest about a plan your provider already wrote down. It cannot suggest a procedure, name a result, or decide that a guest is a candidate. Those sentences stay with the provider.

Who is outside this work?

A solo injector who is also the receptionist, and a practice that wants software to choose treatments. If that is the week you have, say so on the Free Systems Plan and we will tell you whether one job is still worth building.

What should a med spa include when writing to us?

Which of the four jobs slips first, where the appointments live, and who on your team may approve a fee or a sentence about a result. The reply names the first system we would build, and it comes within one business day.

The consult

Tell us which consult is going quiet.

The missed call, the reminder, the treatment plan, or the review ask. Our team reads what you send and writes back within one business day.
