The definition
What an AI conversion system does.
An AI conversion system is the set of AI systems that turns a local business's inquiries (calls, texts, web forms, chats, DMs and reviews) into booked visits and repeat revenue. It answers and follows up on every inquiry, books it, reminds the customer, brings back past customers, and reports the results for each location. A person on the business's team approves anything that commits the business.
Five jobs
Five jobs carry the inquiry the rest of the way.
Each job already has its own page. Together they are the path from the first contact to a visit you can see on Monday, for every location.
-
Answer.
A ring or a form should not wait until the person at the counter is free. Missed-call rescue sends the text you settled ahead of time after a missed ring, and speed to lead writes the opening reply from the services and towns already on your site.
-
Follow up.
An estimate or a treatment plan that already went out still needs a check-in on the days the office chose. Estimate follow-up sends those notes and shows who wrote back.
-
Book and remind.
A time on the calendar still has to be remembered. Appointment reminders sends the note you wrote before the visit. When a calendar is connected, Kyra can offer an open time in that first conversation.
-
Bring back.
After the job is marked done, the customer can be asked to come back by way of a review. Review requests sends the request and the link you chose, including the ordinary jobs a busy desk would skip.
-
Report.
Several addresses need the week split, because one busy shop can hide a quiet one. The weekly owner report lists the figures you picked for each location, and names the tool beside each figure.
One inquiry
The manual way and the system way.
Picture a homeowner who calls at 4:10 about a leaking water heater while the only truck is already on another street. The same inquiry can die on a pad, or it can keep moving.
-
The manual way.
Every step waits for whoever walks back to the desk.
- The shop line rings about the water heater and the chair at the desk is empty.
- The caller hangs up, and the number lives on a paper pad until someone notices it.
- A return call happens only when that pad is still where the last person left it.
- A visit gets penciled in only if the homeowner has not already hired another company.
- The day-before nudge and the later review both depend on someone remembering them after the truck is home.
-
The system way.
The same water-heater call keeps a next step without a person typing each one.
- The missed ring gets the text the shop already approved, so the homeowner knows the call was seen.
- If a form arrived about the same heater, the opening reply uses only the trades and towns printed on the site.
- A connected calendar can offer an open slot, and the reminder leaves before that visit.
- Once the job is marked closed, the review request leaves with the link the shop already chose.
- The Monday page for that shop lists the ring, the booking, and the review as three separate lines.
A person
What a person approves.
You name who may release a message that would bind the company. Routine notes that only repeat lines settled before the week began can leave after the checks. A fee for this customer, money taken off that fee, an arrival you guarantee, a wider piece of work, or a fresh statement about the company stays in the queue of the person you named.
-
Can leave after the checks.
A callback, a reminder for a visit already booked, and a review ask, each one only in lines the business settled before the week began.
-
Stays with the person you named.
The fee for this customer, money off that fee, a guaranteed arrival, a wider piece of work, and any fresh statement about the company.
Each location
The report is one page per location.
Owners with more than one address cannot read a single blended total and know which shop slipped. The weekly owner report is that Monday page: the figures you selected, repeated once per location, with the source tool named on the same line.
-
What the page is for.
Calls that were answered, visits that were booked, reminders that went out, and reviews that were requested, each one tied to the address it belongs to.
-
What it refuses to invent.
If a tool did not supply a figure, that cell stays empty. The page does not fill the hole so the week looks finished.
Where to begin
Start with the inquiry that niche already loses.
The five jobs are the same set. The order is not. Open the page for the business you run, and the systems are named in the order that desk feels them.
-
Dispensaries.
Several counters have to give the same menu answer, and a promo still waits for one person at the company. The retail page names speed to lead before the missed ring.
-
Home services.
Crews already on a job lose the shop line first, then the photo of the unit, then the estimate that went quiet. The contractor page puts missed-call rescue at the front.
-
Vet and dental.
Checkout and a long recall list share one desk, whether the practice is dental or a vet clinic. The page starts from the ring, then the reminder for a visit already booked.
-
Med spas.
A consult can ring while a provider is with a guest, and a written plan can go quiet after they leave. The clinic page starts from that inquiry, then the reminder.
Nearby tools
How this differs from CRO tools and answering services.
Both of those can sit beside this work. Neither one carries an inquiry through a booked visit and a per-location Monday page.
-
CRO tools.
They watch pages and visitors, then suggest what to test. The phone, the text, the reminder, and the report for each address are outside that job.
-
Answering services.
They take the message and hand you a note. Follow-up, the reminder, the review, and the Monday page for that location are still yours to remember.
Questions
Questions before you name the first system.
What does an AI conversion system include?
A reply to the new inquiry, a follow-up if it goes quiet, a booking and a reminder, a way to bring that customer back, and a report split by location. The pieces are separate systems, and you can start with one.
Which messages does it handle?
Phone calls, texts, web forms, site chat, direct messages, and review replies. The point of each one is a visit on the book, or a clear no, rather than a note that sits until morning.
Who still has to say yes?
Someone you name on the business. A fee for this customer, money off that fee, an arrival you guarantee, a wider job, or a fresh statement about the company stays with that person until they release it.
How is this different from a CRO tool?
A CRO tool studies the page and the visitor, then proposes a test. It does not pick up the missed ring, send the reminder, or show which address booked the visit.
How is this different from an answering service?
An answering service records the message and stops. After that message, the follow-up, the reminder, the review request, and the Monday page for that location still have to happen.
Where should a multi-location business start?
On the niche page that matches the week you already run, because a dispensary and a dental group do not lose the same inquiry first. The free Systems Plan names that first system with you.
