A call comes in during a checkout. It rings to voicemail or it rings out. The person at the desk writes the number when they can. Some of those numbers are new patients. Some are people who needed today’s slot.

Dental recalls and vet revisits live in the practice software. Someone is supposed to call them. The list is long, the afternoon is short, and the calls that get made are the ones on top.

The wording.

A reminder uses the practice’s own wording. It does not invent a diagnosis, a drug, or a procedure the clinician has not already decided to offer.

The list comes out of the software you already use. The system drafts the call order and the reminder from wording you supplied. A person clears it before it goes. We do not connect a tool you have not named.

Approval

A reminder goes out only after the desk has approved the wording.

Allowed.

Hours, “we missed your call,” “reply here to pick a time,” and a recall sentence the practice wrote. Those can be templates.

Not allowed.

A diagnosis, a drug name the practice did not supply, a scare line, or a claim that a reminder reduces no-shows by a percent. The queue exists so those never send themselves.

Who clicks yes.

The office lead, or the clinician they named, lets the reminder go. If nobody is named, the reminders stay off.

AVMA, November 8, 2023 reported that companion-animal-exclusive practices had a 19.4 percent employee turnover rate in 2022, the highest of the practice types in that survey. The article is dated November 8, 2023.

It explains why a recall list cannot depend on one coordinator who might not be there next year. The wording has to live in the practice, not in someone’s head.

What it is not.

It describes staffing at companion-animal clinics in that survey. It does not describe a dental office, and it does not describe your book.

Dental and vet

Same desk shape. Different wording.

Dental.

Hygiene recalls, a missed new-patient call, a broken appointment. The reminder talks about a visit, not about a treatment plan the dentist has not confirmed.

Vet.

Vaccine revisits, a post-op check, a food question that should go to the technician. The chat or the text hands off when the question is medical. It does not answer it.

Both.

The plan is where you tell us which software the list lives in, and who at the desk clears a reminder before it goes out.

Is a dental answering service different from a vet one?

The phone problem is the same. The wording is not. A dental reminder is about a hygiene visit or a missed new patient. A vet reminder is about a revisit the practice has already decided is due. We write the templates from the words your desk already uses. We do not keep a shared script and swap “tooth” for “paw.”

Will reminders cut no-shows?

A reminder gives the desk a list and the wording they approved, sent to people the practice marked as due. The chair fills, or it does not. That shows up in your own book, on the dates you choose to compare.

Can Kyra book the appointment?

When you connect the calendar and you allow that step, Kyra’s own site says it can book. A clinical question still goes to your team. Read the product page before you treat booking as automatic for every call. If your front desk wants to confirm every slot, the system should stop at the request.

What does the 19.4 percent figure apply to?

Companion-animal-exclusive veterinary practices in 2022, as reported by the AVMA on November 8, 2023. It does not describe dental offices. We use it as staffing context: the recall wording has to live in the practice, not in one coordinator’s head.

What should the plan include?

Which calls the desk misses, where the recall list lives, and who may approve a reminder. Name the software. If a line is off limits, say which line. A person replies with the first system, which might be the missed call and nothing else until the wording is settled.
